Sossa Website Admin Guide
This guide explains how to add and manage artwork on the Sossa website.
Open the adminAdmin overview
The admin page has three areas:
- Library lists all artwork and shows whether each item is a draft or published.
- Editor is where you add or change artwork details.
- Preview shows the selected artwork and contains the Publish and Delete buttons.
Use Search or the Status and Collection filters to find artwork. The number beside Library shows how many items match the current filters and the total number of items.
Add one artwork
- Select Single artwork in the Editor.
- Select New to clear the form.
- Choose an image using Image file.
- Enter the title, year, and collection.
- Add the medium and dimensions when known.
- Choose the availability status.
- Write short alt text describing the image, for example:
Blue and red portrait painting by Sossa. - Select Save.
The Image URL field is optional and can be used instead of uploading a file. For normal use, uploading an image file is easier.
Review and publish an artwork
- Find and select the artwork in the Library.
- Review its image and information in the Editor and Preview.
- Make any changes and select Save.
- Select Publish in the Preview.
- Open the public website and confirm that the artwork appears correctly.
Published artwork is visible to visitors. Changes made to published artwork are saved as a draft first, so select Publish after reviewing the changes.
Add a collection of artwork
Use this when several images belong to the same exhibition or collection.
- Select Collection in the Editor.
- Choose all the images using Image files.
- Enter the collection name and year.
- Optionally enter a title prefix. The artwork will be named with the prefix and a number, such as Copenhagen 1, Copenhagen 2, and so on.
- Optionally add text describing the collection.
- Enter the common medium and availability.
- Select Add Collection.
Each image is added as a separate draft. Review the drafts individually and publish them when ready.
Edit existing artwork
- Use Search or the Status and Collection filters to find the artwork.
- Select it in the Library.
- Change the required information in the Editor.
- Select Save.
- Review the Preview and select Publish when the update is ready.
Uploading a new image while editing replaces the image used by that artwork.
Unpublish artwork
- Select a published artwork in the Library.
- Select Unpublish in the Preview.
The artwork moves back to drafts and is removed from the public website. It is not deleted and can be published again later.
Delete artwork
- Select the artwork in the Library.
- Select Delete in the Preview.
- Confirm the deletion.
Image recommendations
- Accepted formats are JPEG, PNG, and WebP.
- Use a clear, well-lit photograph cropped to show the artwork.
- JPEG is usually the best choice for paintings and photographs.
- Avoid uploading the same artwork more than once.
- Check the public website after publishing to make sure the orientation and crop look correct.
Availability choices
- Contact for availability
- Ask before confirming whether the work is for sale.
- Available
- The work is available for sale.
- Sold
- The work has been sold.
- Private collection
- The work belongs to a private collection.
Export a backup
Select Export JSON to download a copy of the artwork catalogue. This is useful as an additional content backup. Images are stored separately and are not included in this file.
If something does not work
- If Publish and Delete are disabled, reload the page and make sure you signed in through the approved admin link.
- If an upload fails, confirm that the file is a JPEG, PNG, or WebP image, then try again.
- If a saved item is not on the website, check whether it is still marked draft.
- If the wrong item was published, select it and use Unpublish.
- Do not repeatedly select Save or Publish while an upload is still in progress.
If the problem continues, note the artwork title and the message shown below the form, then send both to the website administrator.
